How CooperVision Further Secured Salesforce Data and Boosted Compliance with Own

Data protection and compliance are critical for businesses operating in highly regulated industries.

For companies like CooperVision, which relies on Salesforce to manage key customer data, ensuring seamless business continuity and protecting sensitive information from data loss are top priorities.

As a global leader in the eye care industry, CooperVision’s Salesforce environment holds critical account and customer data—particularly related to their network of eye care practitioners. “We’re not storing patient information,” explains Tony Fanale, a key IT decision-maker at CooperVision. “Our Salesforce org is used primarily for account and customer information regarding eye care offices and retailers, and it’s essential that we protect it and maintain its resilience”

Identifying Evolving Needs for Data Protection

CooperVision first identified the need to make its data structure more resilient during a major migration from Salesforce Classic to Lightning. The migration itself posed risks, including potential data loss during the transition. As CooperVision prepared for the migration and reviewed its data protection protocols, it became clear that relying solely on Salesforce’s native recovery features wouldn’t be enough.

The need for a robust third-party backup and recovery solution was reinforced with the need to maintain compliance with increasing regulatory guidelines for data protection, such as Sarbanes-Oxley. “We believed that our Salesforce contract included backup and recovery services,” Tony says. He and his team are committed to staying on the forefront of data protection, and knew that as data protection continued to evolve, “it didn’t provide the robust solutions to the extent we needed, especially if there was an unexpected event.”

Faced with the ever-changing needs of data protection, CooperVision turned to Own for a solution to enhance data security, provide quicker recovery in case of unanticipated incidents, and ensure compliance with internal and external regulatory requirements.

Read on below to learn how CooperVision did it.

The challenge: Safeguarding data in a complex Salesforce environment

CooperVision’s search for an enhanced data protection system started during a major Salesforce migration from Salesforce Classic to Lightning. The migration process involved complex data transformations and required CooperVision to negotiate a long deployment window, which meant a planned system blackout.

“We needed five days to finish the transformation and migration from non-production to production environments,” Tony recalls. “Having an extended blackout period is a big deal for any organization.”

While planning for the downtime, the CooperVision team reviewed their contingency plans for unplanned and unexpected outages.

During a deeper evaluation of Salesforce’s native backup and recovery capabilities, the team learned that they could face a longer than desired delay in recovering critical data in the event of an unexpected disruption.

Compounding these concerns were the growing regulatory requirements imposed by Sarbanes-Oxley. As CooperVision prepared for an upcoming audit, it carefully reviewed its data recovery processes, as well as how data protection systems could help it continue to meet regulatory and company compliance expectations.

“Data protection needs are continually evolving, and during this review, it became clear that we now needed a third-party service to help us meet these compliance and recovery requirements,” Tony says.

This combination of managing business continuity risks and regulatory pressures made it imperative for CooperVision to seek a partner that could provide quicker recovery times and ensure compliance, leading them to explore third-party options like Own.

The solution: Why Own was the right choice

As CooperVision evaluated different options for securing their Salesforce data, it became clear that they needed a solution that addressed their compliance concerns and provided ease of integration and proactive features. After considering several third-party solutions, Own emerged as the most suitable choice.

“Our team did a product comparison between a few solutions,” Tony explains. “We had initial discussions with Salesforce because it was in the beta phase of developing its own backup and recovery service. But what really swayed us was the experience we had with the Own team.

The relationship between CooperVision and Own began at Dreamforce, where the Own team demonstrated their solution’s capabilities. CooperVision was impressed by the depth of features, including smart alerts that notify users of any unusual activity or data anomalies. “We spent time with the Own team at Dreamforce and watched their demos. What we learned from them really solidified that they were the market leader in what we were looking for,” says Tony.

In addition to the robust functionality, Own’s ease of implementation stood out as a major benefit for CooperVision. The platform integrated seamlessly into its existing Salesforce environment with minimal disruption to daily operations. “The learning curve didn’t feel very steep,” Tony recalls. “We were able to implement and operationalize Own quickly.”

CooperVision’s decision to partner with Own also came down to the return on investment. The long-term financial benefits, including the ability to avoid renewing inactive Salesforce orgs, made the investment worthwhile.

“The partnership with Own has been great, and it’s been instrumental in helping us make our data infrastructures more resilient and compliant.”

Ultimately, the combination of proactive support, ease of use, and good return on investment made Own the clear choice for CooperVision, ensuring that their evolving data protection needs were fully met.

The outcome: Reduced risk, swift recovery, and compliance

Since partnering with Own, CooperVision has seen improvements in how they manage and protect their Salesforce data. The solution has enabled them to  recover from data loss events swiftly, meet stringent regulatory requirements, and ensure business continuity—all while reducing costs.

One of the most tangible benefits CooperVision experienced was its ability to recover quickly from unexpected data loss or corruption incidents. The proactive smart alerts provided by Own ensured that CooperVision was always aware of any unusual activity, allowing them to act swiftly to resolve issues before they escalated.

Additionally, Own played a crucial role in helping CooperVision meet Sarbanes-Oxley compliance. By implementing a reliable backup and recovery solution, CooperVision could demonstrate that they had the necessary safeguards  to protect their data and ensure continuity in the event of an unanticipated event, helping them meet audit requirements.

Beyond compliance and recovery, Own also delivered financial benefits. CooperVision has avoided unnecessary costs by backing up data from inactive Salesforce orgs and discontinuing those contracts. One such example involved an acquisition where CooperVision needed to retain data from a Salesforce org but did not want to renew the contract for an unused system. “We used Own to create a backup of that org, didn’t renew the contract, and still had access to the data. This saved us a significant amount of resources,” Tony says.

Perhaps most importantly, Own increased CooperVision’s confidence in that their critical business data is secure and recoverable, even in the face of unforeseen incidents, and with the constantly evolving data protection landscape. “It hasn’t necessarily changed the way we use Salesforce, but it’s definitely given us more confidence in our overall technical landscape,” Tony reflects. With Own in place, CooperVision has a swift and reliable way to recover from unexpected data loss events, allowing them to maintain business continuity without interruption.

Data protection as a key to business continuity

CooperVision’s partnership with Own has evolved how they approach data protection, compliance, and business continuity. What began as a need to safeguard critical Salesforce data during a migration quickly evolved into a comprehensive strategy for ensuring the long-term security and recoverability of their business information.

With Own’s proactive alerts, swift recovery capabilities, and seamless integration, CooperVision is even better prepared to handle any data loss incident, whether planned or unplanned. Its ability to meet regulatory requirements, like Sarbanes-Oxley, while remaining cost-effective, underscores the flexibility and effectiveness of the Own solution.

As Tony puts it: “With Own, we are confident our data is secure and recoverable, allowing us to focus on what really matters—continuing to deliver innovative products and services to our customers and their patients.”

For any organization that relies heavily on Salesforce or other SaaS platforms, ensuring data protection and compliance is critical to maintaining business continuity. CooperVision’s experience demonstrates how a solution like Own can make all the difference.
